Church Volunteer Schedule
Most churches run on a small group of faithful volunteers who cover the gaps, often because nobody else knew a spot was open. A shared schedule spreads the load: members see which Sundays need help, pick the ones that fit, and the same few people don't end up serving every week.
This template repeats weekly for eight Sundays with greeters, ushers, nursery, coffee and AV, two people per role. Adjust the times to your service and share the link in the bulletin, a members' email or your church app. Signing up takes a name and nothing else, which matters when your volunteers range from teenagers to retirees.
What's on the sheet
This is the starting point. Rename, add or remove anything before you share it.
Thank you for serving! Pick the Sundays and roles that fit your schedule.
Nursery volunteers must complete our church's child-safety screening and training before serving.
Please arrive a few minutes before your start time.
If you can't make a Sunday you signed up for, use your private link to remove yourself as soon as you know, so someone else can step in.

What each role needs to know
- Greeters open doors, welcome visitors and point the way to restrooms and children's check-in. A one-page "where things are" sheet helps new greeters answer questions.
- Ushers help with seating, the offering and anything unexpected during the service. Make sure every usher knows your church's plan for a medical or safety emergency.
- Nursery volunteers follow your church's check-in and check-out procedure every single week (more on that below).
- Coffee and hospitality starts before anyone arrives. Tape brewing steps inside a cabinet door and keep a list for noting supplies that are running low.
- AV volunteers need time for a sound check and to load slides before the service. Pair someone new with an experienced volunteer for their first few Sundays.
Nursery and children's areas
Child-safety rules come from your church, and often from its insurance carrier or denomination. Screening, training, check-in procedures and the number of adults in each room are their call, not something to improvise on a sign-up sheet. The schedule can support those rules:
- Set the number of people per slot to match your policy. The template asks for two nursery volunteers because many churches follow a two-adult rule.
- Keep "screened volunteers only" in the role name and the description, so people know before they sign up.
- Print the schedule before each month starts and have your children's ministry leader check the nursery names against your approved list.
- Keep children's names, allergies and pick-up instructions off the sign-up page. They belong in your check-in system.
Keeping the rotation healthy
- Ask for a realistic commitment, such as one Sunday a month, and say so in the description. People are more willing to sign up when they know what they're agreeing to.
- Show the QR code on the welcome screen before the service, or print it in the bulletin.
- Special services like Christmas Eve or Easter usually need extra hands. A separate one-day sheet keeps them from getting lost in the weekly rotation, and the VBS volunteer template covers a week of summer programming.
Frequently asked questions
Can members without email or a smartphone sign up?
Of course. All a member needs is their name. They can scan the QR code, open the link from a text, or call the church office and have someone sign them up.
We have two services. How do I set that up?
Add an item for each role at each service when you build the schedule, such as "Greeter, 9:00 service" and "Greeter, 11:00 service." For a midweek service, make a separate weekly schedule that starts on that day.
Can a couple or family serve together?
Yes. Each role has two spots, so a couple can claim both by signing up once under each name. Families greeting with their children can add a note, so you know to expect extra helpers.
How far ahead should we schedule?
About two months at a time works for many churches: far enough ahead to plan, close enough that people can commit. When the schedule is about half over, duplicate it, pick the next start date and share the new link, so there's never a gap.
How do volunteers remember their Sunday?
Right after signing up, they can tap "Add to calendar" and choose Google, Outlook or Apple, so that Sunday and role sit on the calendar they already use and remind them ahead of time. SignupGadget never sends emails or texts.
