Holiday Party Invitation with Online RSVP

Whether it's an open house for the neighbors or the office party in a rented room, every holiday party has the same planning problem: you need a headcount before you buy food, and December calendars fill up fast. An online RSVP gives guests a quick way to answer and gives you a number you can plan around.

This template creates a holiday party invitation with yes, maybe and no replies, one plus-one per guest, and room for messages. Add the date, time and address, then send the link by text or post it in a group chat. Guests don't need an account or an email address to reply, and you see a running total of who's coming, plus-ones included.

What's on the sheet

This is the starting point. Rename, add or remove anything before you share it.

Holiday Party

You're invited to our holiday party. Come for food, drinks and good company; dress is cozy, not formal.
Please RSVP below and include your plus-one so we can plan food and seating. Maybe is fine for now, just update it once you know.
Leave a message if you have a food allergy or want to bring something.

What to put in the invitation

  • An end time as well as a start time. It tells guests whether this is a two-hour open house or an evening that runs late.
  • The address plus parking notes. "Street parking only" or "use the side door" saves you from answering the same question all night.
  • What you're serving. Say whether it's a full meal or appetizers, so guests know whether to eat first, and whether they should bring a drink to share.
  • Kids or adults only. A plus-one count doesn't tell you whether someone is bringing a date or a toddler, so say it plainly.
  • The dress code, if there is one: ugly sweaters, cocktail attire or come as you are.
  • Any gift plans. If there's a white elephant or a Secret Santa, include the budget and when names will be drawn.

Plus-ones, deadlines and the final headcount

Decide on your plus-one policy before the link goes out. One per guest suits most adult parties; raise the limit if families are bringing kids, or turn plus-ones off for a fixed guest list. For an office party, check with whoever is paying whether partners are included.

Set the RSVP deadline around your plans. If a caterer or restaurant needs a final count, ask when, and set your deadline a few days before that. For a party at home, about a week ahead leaves time to shop.

Maybes are the hardest part of any headcount. One common approach is to plan food for your yeses and about half your maybes, then post an update a few days out asking the maybes to decide. If you enter the number of guests you expect, the event page shows it next to the running total, so you can see at a glance how close you are.

Keeping a private party private

Invitation links get forwarded. If your home address or a gate code is in the details, add an event password and send it to guests separately; anyone without it sees only the party's name, date and time, not the address, description or guest list. Turn on "hide names" if guests shouldn't see who else is coming, which is often the kinder choice at work, where some people will decline. You'll still see every RSVP and message.

Frequently asked questions

What do guests see when they open the link?

Your party details and three choices: yes, maybe or no. They add their name, how many plus-ones they're bringing and an optional message. There's no account to create and no email address to enter.

Can guests change their RSVP?

Yes. Every reply comes with a private link, so guests can update it from any device, whether that's switching from maybe to yes, adding a plus-one, or bowing out.

Can I send reminders before the party?

There are no email or text reminders. Instead, the invitation has an "Add to calendar" button for Google, Outlook and Apple Calendar, so each guest's own calendar can remind them. For last-minute news like a parking change, an organizer update shows at the top of the party page.

How do I lock in a final headcount?

Set an RSVP deadline when you create the party, or close RSVPs yourself when you're ready to call the caterer. Print the guest list or download it as a CSV for name tags or a list at the door.
