Carpool Sign-Up Sheet
A carpool saves every family a few trips a week, right up until someone loses track of whose day it is. A shared sign-up sheet keeps the rotation in one place: each drive is its own line, drivers claim the days they can cover, and everyone can see who has pick-up before the bell rings.
This template covers two weeks of school days with a morning drop-off and an afternoon pick-up each day, skipping weekends. Set the start date, add a second route if you need one, and share the link in your carpool group chat. Drivers note how many seats they have, so nobody shows up with a full car.
What's on the sheet
This is the starting point. Rename, add or remove anything before you share it.
Pick the drives you can cover. Each line is one trip: morning drop-off or afternoon pick-up.
In the note, put how many open seats you have and whether you have a booster seat.
Please make sure you're on each child's school pick-up list before your first afternoon drive.
Can't make a day you claimed? Use your private link to remove yourself, then post in our group chat so someone can grab it.

Setting up the rotation
Before the first drive, agree on the basics: which kids are in the carpool, the pick-up order, and how late is too late to cancel. Write them in the description so they live in one place instead of scrolling away in the group chat.
- One line per trip. Mornings and afternoons are separate because the parent who can drive at 7:30 often can't at 3:00.
- Count seat belts, not kids. If the group has more children than any one car has seat belts, set two drivers per trip or split into routes, such as "Afternoon pick-up, east side."
- Late days. If some kids stay for clubs or tutoring, add a later pick-up item for those days so one driver isn't waiting in the lot for an hour.
- Keep it private. Add an event password so only carpool families can open the sheet, and keep home addresses in your group chat rather than on the page.
Car seats, pick-up lists and swaps
- Follow your state's car seat and booster rules and each family's own preferences. Agree on who supplies boosters: some carpools keep a spare in every car, others send a lightweight booster with the child each day.
- Schools usually release children only to adults on an approved pick-up list. Ask the front office how to add every carpool driver, and do it before the first afternoon.
- Agree on a backup plan for sick days and late meetings, such as the next driver on the list.
- Early release days and late starts change the times. Post an update when one comes up, and remind that day's drivers to fix the time in their own calendars.
- To swap a day, one driver removes themselves with their private link and the other claims the open line. The organizer can fix mistakes from the organizer view.
Frequently asked questions
Can only our carpool families see the sheet?
Yes. Add an event password, then share the link and password in your group chat; only people with both can open it. Hide names isn't needed for a carpool, since everyone needs to know who's driving.
What if a driver gets sick the morning of their drive?
They remove themselves with their private link, which reopens the line, and then message the group so someone can grab it. There are no notifications, so a quick text is still the fastest way to find a replacement.
How do we keep the driving fair?
A common approach is to drive in proportion to the number of kids each family has in the carpool, so a family with two riders covers about twice as many trips. Put the expectation in the description, and glance at the sheet before each new stretch to see who is ahead or behind.
Does it work for practices and lessons?
Yes. Switch the schedule to once a week, start it on the day of the first practice, and use items like "Drive to practice" and "Drive home" with the right times.
Can we plan a whole month at once?
Yes. Set more days in the schedule builder and weekends are skipped automatically. Shorter stretches are easier for busy families to commit to, though, so some groups fill two weeks at a time.
