Field Trip Chaperone Sign-Up Sheet
Chaperone requests tend to go one of two ways: nobody answers the note in the take-home folder, or ten parents volunteer for four spots. A sign-up sheet handles both. Parents see exactly how many spots are open, the first ones in get them, and everyone else lands on a waitlist instead of in your inbox.
This template sets up one trip day with three bus chaperones who ride with the class and three site chaperones who meet you there. Change the numbers to match your school's chaperone ratio, put the trip details in the description, and send the link home as soon as the trip is approved, so parents have time to get cleared and arrange the day off.
What's on the sheet
This is the starting point. Rename, add or remove anything before you share it.
We're going on a field trip and need chaperones to help keep small groups together!
All chaperones must be approved through our school's volunteer process before the trip. If you haven't done it yet, please start now.
Bus chaperones ride with the class. Site chaperones drive themselves and meet us there. Please plan for younger siblings to stay home.
If the spots are full, join the waitlist. You'll move up automatically if someone drops out, so check back before the trip.

How many chaperones to ask for
Your school or district usually sets the ratio of adults to students, and some venues have their own rules about group sizes or how many adults get in free. Check both before you set the number of spots, then think through the day itself:
- Plan one adult per small group, plus a floater or two for bathroom trips, a student who feels sick or a group that falls behind.
- A student with one-on-one support may have an aide or parent along. Ask how that person is counted before you open the remaining spots.
- Bus seats are limited. If the bus only has room for a few adults, the site chaperone line lets more parents help without needing a seat.
- Tell chaperones up front whether they pay their own admission or lunch, so nobody is surprised at the gate.
What chaperones should know before the trip
- Arrival time and where to check in. Put both in the description so they're right there every time a chaperone opens the link.
- Their group of students. Hand out group lists on paper the morning of the trip and keep student names off the sign-up page.
- The plan for the day: meeting spots, headcount times, when and where lunch happens, and when the bus leaves.
- Your cell number for the day, and exactly what to do if a student is missing or hurt.
- House rules: students stay with their group, chaperones don't buy treats or souvenirs for the group, and photos of other people's children stay off social media.
- Who handles student medication and health needs under your school's policy, so chaperones know whom to find.
- What to wear and bring: comfortable shoes, layers for the weather, water and a packed lunch if the class is bringing them.
Frequently asked questions
What happens when all the chaperone spots are taken?
Parents who sign up next go on the waitlist, which is turned on in this template. If a chaperone drops out, the first person on the waitlist moves up automatically. There are no notifications, so ask waitlisted parents to check the page the week before and to finish their clearance just in case.
Can I check that every chaperone is approved?
Yes. As the organizer you see every name, and you can export the list as a CSV or print it to compare with the front office's approved list. SignupGadget doesn't run or track background checks; that stays with your school.
Can parents drive students to the field trip?
Many districts limit or don't allow parents to drive other people's children, so follow your school's transportation rules. The site chaperone line is for parents who drive themselves. Rename or delete it to fit your policy.
What if the trip is rescheduled or canceled?
Share the new plan as an organizer update, and remind chaperones to change the date in their own calendars. Anyone who can't make the new day can drop out with their private link, and the waitlist fills the spot automatically.
When should the chaperone sign-up go out?
As soon as the trip is approved. Clearance can take time, parents may need to request the day off, and an early link lets you close sign-ups well before the office needs your final list.
