Family Reunion Potluck Sign-Up Sheet
A reunion potluck feeds a crowd that spans generations and state lines: cousins who drove in from three hours away, a grandmother who has made the same pound cake for forty years, and kids who will only eat hot dogs. Without a list, you end up with six desserts and no buns.
This template lays out a summer cookout menu by course, with lines for the grill, coolers and paper goods so the gear gets covered too. Ask each household to claim a line or two, and steer out-of-town families toward the items that travel well. Everyone signs up with just a name โ no account or email.
What's on the sheet
This is the starting point. Rename, add or remove anything before you share it.
We can't wait to see everyone! Please claim a line for your household so we have a full table.
Coming from out of town? Grab a snacks, drinks or paper goods line โ no cooking needed.
Write your dish in the note so we don't end up with five potato salads.

Divide the menu by household
With a big family, plan in households rather than individuals. A split that works for many reunions:
- Local families take the hot mains and the sides that need a kitchen, since they don't have to keep food cold in a car for hours.
- Out-of-town families take non-perishables โ chips, packaged cookies, bottled drinks, paper goods โ which they can pick up near the venue that morning.
- The family's known cooks are usually happy to bring their signature dish. Add it to the sheet by name ("Aunt Dee's pound cake") so nobody else brings one.
- Teens and college students can handle ice and coolers, or help an adult run the grill.
As a rule of thumb, a reunion needs a little more food than a dinner party: people arrive at different times and graze all afternoon. Raise the "how many" number on mains and drinks for a big crowd.
Reunion-day details that are easy to forget
- Name tags: with second cousins and new in-laws, tags that include the family branch ("Ruth's side") help everyone place each other.
- Food in the heat: USDA guidance is to keep perishable food out of the fridge or cooler for no more than two hours, or one hour when it's above 90ยฐF. Put someone in charge of moving dishes back onto ice.
- Labels on dishes: a strip of tape with the dish and the cook's name helps relatives with allergies and gets every pan back to the right house.
- Park rules: if you've booked a pavilion, check whether grills, generators, tents and alcohol are allowed, and what time you have to be cleaned up and out.
- Kids' activities: lawn games, bubbles, sidewalk chalk or a water-balloon toss keep younger cousins busy while the adults catch up.
- The group photo: take it early, before the first families start the drive home.
Frequently asked questions
How far ahead should we send the potluck sign-up?
Send it with the invitation or save-the-date if you can. Traveling families plan early, and early sign-ups give you time to fill gaps. Resending the link a couple of weeks before the reunion catches the latecomers.
Can relatives without smartphones sign up?
Yes. Anyone can sign up on someone else's behalf just by typing their name, so a grandchild can add Grandma's potato salad for her. You can also print the sheet, or put the printable QR code on a mailed invitation.
What about tables, chairs, tents and setup?
Potluck lines work best for food and drinks. For setup, shade tents, folding chairs and kids' games, make a separate task list and share both links together.
Our reunion lasts all weekend. Can we plan more than one meal?
Make one sheet per meal โ Friday fish fry, Saturday cookout, Sunday brunch โ so each has its own list. Set up the first one, then duplicate it and rename the lines for the next meal.
Is it free for a big family?
Yes. There is no premium tier, so every feature is available no matter how many households sign up. Next summer, duplicate this year's sheet to get a head start.
