Teacher Appreciation Week Sign-Up Sheet

Teacher Appreciation Week is one of the busiest weeks on a PTA calendar: a breakfast, a lunch for the whole staff, little daily treats, and a lot of parents asking "what can I bring?" A sign-up sheet answers that question once, for everyone.

This template lays the week out day by day, with food lines for the staff breakfast and lunch, a snack cart, items from teachers' classroom wish lists, and helpers to set up and clean up. Change the days to match your plans, then share the link in the school newsletter or the parent group chat. Families claim a line in a few seconds, with nothing to install.

When it is, and planning ahead

In the US, Teacher Appreciation Week is usually the first full week of May, and National Teacher Day falls on the Tuesday of that week. Some schools pick their own week instead, so check with your principal before you set dates.

Send the sign-up two to three weeks ahead. That gives parents time to plan a dish, order coffee, or pick up a wish list item, and it gives you time to fill the gaps. Post an update the week before with drop-off times and where to leave things.

Ideas for each day

  • A breakfast is an easy start to the week: bagels, coffee and fruit set out in the staff lounge before the first bell.
  • Notes from students mean more to most teachers than anything bought. Ask families to send in a note or drawing, then have a couple of volunteers put each teacher's into a booklet.
  • A staff lunch is usually the centerpiece. Remember the whole staff: office staff, custodians, cafeteria workers, aides and bus drivers.
  • A snack cart that rolls from room to room lets teachers grab something without leaving their class.
  • Wish list items go straight into the classroom. Ask teachers for a short list ahead of time and link it in your description.

Food, allergies and gifts

Ask the office for a list of staff allergies and dietary needs before the lunch, and add a vegetarian or gluten-free line if needed. Labels with ingredients on every dish help a lot.

If families want to pool money for a class gift or gift cards, collect it the way your PTA usually handles money. SignupGadget can show who's in, but it doesn't handle payments. Some schools and districts also have rules about the value of gifts to staff, so it's worth asking your principal.

Frequently asked questions

Will teachers see the sign-up?

Anyone with the link can open the sheet. To keep the week a surprise, share it only with families, not in channels teachers read. Hiding names keeps who signed up private, but the items themselves are still visible.

Can parents sign up without their name showing?

Yes. This template allows anonymous sign-ups, so a family can claim a line without their name appearing on the sheet. You can also turn on "hide names" so only you see who signed up.

Can I run one sheet for the whole school?

Yes. Raise the "how many" number on the lunch and snack lines to match your staff size. If each class is doing its own thing too, room parents can make their own sheets from this template.

Can families help without spending money?

Yes. Setting up and cleaning up the staff lunch and putting together the student notes booklet are both on the list, and neither costs anything.
