Christmas Dinner Potluck Sign-Up Sheet
Christmas dinner usually lands on one host, one oven and a lot of relatives arriving at different times from different directions. A shared list takes the guesswork out of who is bringing what, and it lets the family's favorite dishes show up without anyone having to ask twice.
This template is set up for a family Christmas dinner: the host covers the main, everyone else claims sides, desserts and drinks, and there are lines for a cheese board, a cocoa bar and breakfast for anyone staying over. Change it to fit your family, then send the link to the family group chat. Relatives claim a dish by typing their name.
What's on the sheet
This is the starting point. Rename, add or remove anything before you share it.
Merry Christmas! Claim a dish below and add what you're making in the note.
If your dish needs time in the oven, please say how long and how hot so we can plan around the ham.
Staying over? There's a line for Christmas morning breakfast too.

Plan around everyone's travel
- Many families split Christmas between two households. Set a firm time for dinner in the description so the people heading to the in-laws afterward can plan around it.
- Relatives driving a long way do best with dishes that travel: cookies, rolls, a pie, drinks or the to-go containers.
- If people arrive over a few hours, put out the appetizer lines first and save the hot sides for when most people are there.
- Send the link right after Thanksgiving. December fills up, and people like to plan their baking.
One oven, one fridge
The main usually takes the oven for hours, which leaves little room for anyone else's dish. Ask guests to bring sides that are ready to serve, reheat on the stove or keep warm in a slow cooker, and to write in their note if they need oven time. A quick look at the notes the day before tells you whether the timing works.
Clear some fridge space before people arrive, set out serving spoons, and put a strip of tape with the cook's name on each dish so every pan finds its way home.
Make room for family traditions
Most families have a dish that has to be on the table, whether it's tamales, Grandma's sweet potato casserole or a Christmas Eve fish dinner. Add it to the sheet by name, like "Aunt Rosa's tamales", so the right person claims it and nobody else brings a second one. It's also a nice way to ask someone to teach the recipe to the next generation.
Kids can help too. A line for decorating cookies or setting the table gives them a job and keeps them out from underfoot in the kitchen.
Frequently asked questions
We do Christmas Eve and Christmas Day. One sheet or two?
Two. Each meal gets its own list, so nobody brings Christmas Day sides to Christmas Eve. Set up one, then duplicate it and change the lines for the other.
How do I ask someone to bring their famous dish?
Add a line with their name on it, like "Uncle Joe's mac and cheese", and send them the link. They claim it with one tap, and everyone else can see it is covered.
Can I see which dishes need the oven?
If you ask guests to note oven time in their sign-up, you can scan the notes on the sheet, or print the list or download it as a CSV the day before and plan the oven schedule from it.
Can I organize gifts here too?
Gifts work better as their own sign-up. For a family gift exchange, use the family Secret Santa template to draw names, or a white elephant for a game everyone plays together.
