Holiday Cookie Exchange Sign-Up Sheet
A cookie exchange is simple on paper: everyone bakes a big batch of one kind of cookie, and everyone goes home with a mix. In practice it falls apart in two places โ three people show up with chocolate chip, and nobody is sure how many to bake. A shared sheet settles both before anyone preheats the oven.
This template lists classic holiday cookies that each take one baker, plus two "baker's choice" spots and the extras the party needs. Once someone claims gingerbread, it's off the table for everyone else. Send the link to friends, neighbors or coworkers; they sign up with only a name, no account or email address.
What's on the sheet
This is the starting point. Rename, add or remove anything before you share it.
Welcome to the cookie swap. Claim one cookie type below so nobody doubles up, and name your exact cookie in the note.
How much to bake: half a dozen for each baker on this sheet, plus one dozen for sampling. I'll post the final count when sign-ups close.
Please bring recipe cards, and label your cookies with any nuts, dairy, eggs or gluten.

How many cookies to bake
A common rule of thumb is half a dozen cookies for each participant, plus one extra dozen to set out for sampling at the party. The total grows with the group:
- 6 bakers: 3 dozen to swap plus 1 for sampling, so 4 dozen each.
- 8 bakers: 4 dozen to swap plus 1 for sampling, so 5 dozen each.
- 12 bakers: 6 dozen to swap plus 1 for sampling, so 7 dozen each.
Every baker you add means more baking for everyone, so a group of about eight to twelve keeps it fun instead of a marathon. For a bigger crowd, drop to three or four cookies per person. Close sign-ups once your group is set, then post an update with the final number so everyone bakes the same amount.
Packing, recipe cards and labels
- Pick a swap style before the party. Pre-packed bags of six, one per guest, make the swap take minutes; a buffet table where everyone fills an empty tin is more fun but needs counter space and a clear per-person limit.
- Let cookies cool completely before packing. Warm cookies steam inside a closed tin and turn soft.
- Pack crisp and soft cookies separately. Crisp ones pick up moisture from soft ones and lose their snap.
- Layer stacked cookies with parchment or wax paper, and give delicate or frosted cookies a single layer.
- Bring a printed recipe card for each guest, or set one card next to your cookies so people can snap a photo.
- Label every bag or tin with the cookie's name and allergens, and bag nut cookies on their own so they don't touch the nut-free batch.
Frequently asked questions
How do I stop two people from bringing the same cookie?
Each cookie type on the sheet takes one baker. Once it's claimed, it shows as full, so the next person picks something else. Anyone whose favorite isn't listed can take a "baker's choice" spot and name the cookie in the note.
Can I change the cookie list after I send the link?
Yes. Add a cookie, rename a line or remove one at any time, and the link stays the same. If the group gets bigger, post an update with the new baking count so nobody comes up short.
Can I post the link in a neighborhood group?
Yes. If you'd rather not share your address with the whole group, add an event password and ask neighbors to message you for it. Until someone enters the password, your address and the sign-up sheet stay hidden.
Do bakers need an account?
No, just a name. Each baker also receives a private link for their sign-up, so they can switch cookies or drop out from any device without asking you to fix it.
Can we run a cookie swap at the office?
It works well over a long lunch. Set a sign-up deadline a week out, ask everyone to bring cookies already bagged in sixes, and print the sheet to use as a tasting card listing every cookie and its baker.
